Our HR team located in Ottawa is looking for an HR Administrative Specialist for a 12-month contract position to support our national HR initiatives. The HR Administrative Specialist is responsible for providing general HR support with a variety of administrative responsibilities, ensuring complete accuracy and confidentiality. Reporting to the Sr HR Manager in Ottawa, responsibilities include:

  • Liaising with our COEs at Headquarters in China
  • New employee on-boarding and assimilation, including verifying documentation, coordinating new hire set-up (equipment, logins, IDs etc.), conducting new hire welcome meetings, and communication with new hires
  • Liaise with remote sites to coordinate flow of paperwork for HR
  • Maintaining employee files (online & physical)
  • Assist in coordinating, tracking & reporting new hire training, & other learning & development activities
  • Administrative support to HR and Health & Safety committee
  • Exit management
  • Attendance Management
  • Probation tracking
  • General Employee inquiries
  • Event Planning

Our ideal candidate will have the following skills and experience:

  • 3+ years of HR specific administrative experience and demonstrated ability to maintain confidential information as it pertains to HR issues
  • Must be fluent in English and Chinese (Mandarin)

  • Excellent organizational and planning skills to set and exceed established goals, schedules and deadlines
  • Strong presentation skills and confidence in public speaking
  • Strong initiative to take direction, apply learning’s, and execute on requests
  • Advanced computer skills in word processing, email, spreadsheets, and presentations
  • Ability to manage multiple priorities and concurrent projects
